Section 10-427 requires the application to include a detailed map showing, among other things, the location of any vendors not set up inside a tent or other structure, plus points of ingress and egress and any spot where alcohol will be sold. Beyond the map, subsection (b)(9) separately requires a written description of the distance to be maintained between each part or activity of the event, and specifically calls out that if multiple vendors will be present, the distance between vendor booths has to be identified too.

Deadlines run on the event's size: large, medium and small events need an application at least 60 days out, while a simple event (a nonprofit or neighborhood block party or park event under 250 attendees) only needs 15 days' notice; late applications are accepted only at the Special Event Coordinator's discretion and can draw a late fee under the City fee schedule. , whether the organizer has checked in with the City's noise ordinance permit requirements. A nonrefundable application fee, calculated from the City fee schedule by event size, is due when the application is filed, and proof of insurance is required for every event except a simple event run by a recognized neighborhood association.

The Special Event Coordinator, not the applicant, has final say over whether an event is classified simple, small, medium, large, or a hazard event, regardless of how the applicant labeled it on the form.
